Summary of Position:

The Receptionist/Administrative Assistant is the first point of contact for all guests and visitors. Therefore, the successful candidate must maintain a professional and personable image at all times. This role requires good communication skills and the ability to interact respectfully and professionally with individuals of diverse backgrounds.

 

Knowledge and Skills: 

  • Ability to represent the Company in a professional manner at all times
  • Well organized, detail-oriented, and self-motivated with strong prioritizing and follow-up skills
  • Ability to multitask, adapt quickly to changing needs and requirements
  • Strong interpersonal skills and able to take direction and guidance from multiple sources and be able to work independently with little guidance
  • Good analytical and problem-solving skills
  • Ability to handle confidential and sensitive information by using discretion and independent judgment to deal with issues and problems and seek assistance when necessary
  • Familiar with Microsoft Office suite programs on PC (ie. Word, Excel, PowerPoint, Outlook…etc.)
  • Excellent typing/keyboarding skills
  • Strong grasp of the English language with strong verbal and written communication skills

Responsibilities: 

  • Greeting and directing clients in a professional manner
  • Develop communication skills through communication with some of our carriers (RBC, BMO, SunLife, Manulife Financial, Canada Life, Industrial Alliance, etc.), business partners, advisors, candidates or others as required;
  • Managing the schedule for the meeting room and arranging catering for meetings and seminars (as required)
  • Performing general clerical and administrative duties, such as emailing, faxing, photocopying, scanning, printing, client charts, and binding documents, conducting research and data entry (as required)
  • Maintaining inventory of office supplies and marketing materials
  • Maintaining the reception area
  • Prepare presentations and marketing material;
  • Assist in the creation of signage, circulars, mock ups, e-mail campaigns, online promotion, etc.
  • Other duties as assigned

Education and Experience: 

  • High School Diploma or equivalent is required. Completion of Post-Secondary is an asset
